Recently Active Contacts

Active contacts are engaged contacts - whether it's a new lead or a returning contact. Being able to see what recently active contacts are looking at allows you to follow-up quickly with relevant content. Here you'll learn how to find recently active contacts in your system, as well as tips and scripts for a stellar follow up.

Where to See Activity in Your System

30-Day Activity Feed

In this widget on your Home Dashboard you can see an overview of which contacts have been active in the last 30 days and what they've done. Tip: Look for contacts who have been highly active and reach out to ask questions and offer your assistance.

Contact Details Page Activity Feed

You can see individual contact activity on each contact's Contact Details Page. Review this activity before making follow-up calls/emails so you can ask specific questions about their preferences.

All Contacts Page

You can sort and filter your full contact list by recent activity. That way you can focus your follow-up efforts on contacts who are showing engagement. Click on the Contacts tab then click All Contacts

Sort by Last Activity

To sort your contact list by last activity, click on the Sorted By menu and select Contact Last Activity. If needed, you can use the arrows to reverse the order of your sorted list.

Filter by Recent Activity

To filter your list to show only recently active contacts, Click on My Searches, then select Recently ActiveHere you will see contacts that have been active in the last 7 days, as well as contacts that you have engaged with in the last 7 days.

Filter by Type of Activity

To filter your list by the type of activity, click the Filters button. Here, under the Dates section, you can select the specific type of activity:

  • Last Contact: When you last reached out to the contact
  • Contact Last Active: When the contact last engaged with you or your website

View Last Activity

To quickly see the last action you and your contact took, pan over to the Last Activity column and click the activity icons.

How to Follow up on Contact Activity

New Leads

Reach out to new leads ASAP - you want to catch them while they're still thinking about real estate. The system will send an automated welcome email, but you should call or email to ask questions about their preferences and begin building a relationship.

New Buyer Lead - Option #1

Thank you for registering on my website.  You should have already received a welcome email with your login information, so you can see all properties directly from the MLS. Buying or selling a home can be an overwhelming process, so I’m here to help; if you have any questions at all, please don’t hesitate to ask. I look forward to helping you achieve your real estate goals!

New Buyer Lead - Option #2

Subject: Is this [First Name]?  It looks like home listings in the ________ area could be of interest to you. Did you find what you are looking for? Am I able to be of service? My name is _______ and I'm a local agent with ______.  If I can help in any way, please call/text/email me anytime...

New Seller Lead - Option #1

Subject: [Area] Home Value  Thank you for contacting me through HouseValues.com. I am in the process of gathering the information that you requested. In the meantime, feel free to view my website to find all the current MLS listings in the area at <WEBSITE URL>.  Here you can follow and save listings as they come on the market, as well as track home values in your area.  You'll be receiving an email with a login and password so you can access my website and view comparable home prices and market data, and I’ll be in touch shortly to provide the information you requested and answer any other questions you may have.

New Seller Lead - Option #2

Subject: [First Name]?   Hi there, I just received your request (via HouseValues.com) about the home in [AREA/CITY].  How can I help?  My name is _____ and I'm a realtor with _____.  I’ll be in touch shortly to provide the information you requested and answer any questions.  P.S. I’m going to send you an email with a login and password to my website, so you can browse up-to-date MLS listings, hassle free. Thank you!!

Viewed Listings

A contact’s viewing behavior can tell you a lot about them, including their timeline and what they may be looking for. Check to see what properties they viewed, and try to identify trends or patterns in their viewing history.

Send relevant listings, and ask open-ended questions about their property preferences. Adjust their listing alert so they can automatically receive similar properties.

Subject: Hi [First Name]... Did you know you can save searches on my website? This will allow you to save your search criteria and run the search with one-click. Once you enter your search criteria, just click the Save Search button in the top right.  Then, to run your search to see any new properties that match your criteria, click on your name in the top right, and select Saved Searches. Then click Run to search for properties with your saved search filters. It’s that easy! And speaking of property searches, how's yours going? What are your top must-haves or deal-breakers?

Favorited a Listing

When a contact saves or favorites a listing, it’s a good indicator of their timeline. If they favorite multiple listings, try and identify patterns among them. Saving a listing is a great opportunity to engage with highly relevant content.

Provide details they can’t find online. For example, drive by the listing and take a few photos with your phone, or contact the listing agent to get more “off the record” details of the home. Offer to show them the home in person.
Price Range Changed

A price change can indicate a pre-approval, so check to see if the price went up or down. Or, if the price range becomes more specific, it may mean they’re getting closer to taking the next step.

Send relevant listings in the new price range, and include information on the home buying process. If they have a listing alert, be sure to update it!
Search Area Changed

A drastic area change could indicate a life event (e.g. new job, child on the way, etc.), but a minor area change means they are getting further along in their timeline, or they got pre-approved and switched to an area more appropriate for their price point.

Send relevant listings in the new area, and include information about the community or neighborhoods in the area. If they have a listing alert, be sure to update it!
Requested a CMA

Requesting a CMA/Home Valuation often indicates a seller who is considering listing their home. It can also mean a buyer that likes a home and wanted to see how much the home would cost in today’s market. Either way, make no assumptions and provide the information they requested.

Research the property and provide a CMA with an estimated value of the property, with comparable listings. Don’t forget to follow-up with them after to see what they thought of your estimated value.

Subject: Your [Area] Home Evaluation I sent you a copy of the market value report that I worked up for you in the mail to be sure that you got a copy.  Have you received it yet?  What did you think of the market value? – A little high, too low?  If you have any additional information to share about the house that may impact the value I would be happy to revise it for you, just give me a call or send me an email.

Unsubscribed

When a contact unsubscribes from listing alerts or marketing emails, it could mean the content wasn’t relevant to them, or it was too frequent. Don’t take it personal, instead look at it as an opportunity to reach out.

You can still send them a personal email, so reach out and ask them why they unsubscribed, and offer to make adjustments. You might be surprised how often contacts will respond!

Subject: Did I miss the mark? I noticed you unsubscribed from my emails, and I just wanted to ask why?  Was I emailing you too often?  Or was the content not quite right?  Did I miss the mark?   Either way, I will be sure to stop sending you emails, however if you simply wanted different or less frequent information, please let me know so I can tailor the content and timing to your needs.   In the meantime, feel free to visit my website for up-to-date listings and market info in your area.Thank you very much.

External Activity Alerts

You can receive text and email alerts when a contact takes certain actions like browsing your website or sending you a message. These alerts include links that will log you into your system, so you can respond quickly, no matter where you are. Learn how to manage these alerts
